PERSONAL ASSISTANT TO THE CEO
Role Purpose
This role requires solid organizational skills and the ability to meet tight deadlines while juggling multiple critical requests across teams. The ideal candidate will be detail-oriented, a good planner with the demonstrated ability to respond effectively and efficiently to any occurring issues.
The EA has to demonstrate the ability to proactively anticipate needs. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical.
The role requires a balance of personal and business support.
Key Accountabilities:
• Provide full executive and personal support, managing an ever-evolving calendar and daily schedule.
• Manage the Manager’s email inbox, ensuring timely responses and appropriate follow-up.
• Act as the point of contact for external and internal entities.
• Collaborate closely with Agency teams (international team).
• Set up calls and meetings, distribute materials in a timely manner, anticipate potential obstacles and address them proactively.
• Organize, execute, and assist with a variety of activities.
• Follow up on outstanding items to ensure completion.
• Coordinate frequent last-minute travel (commercial) including flights, accommodations, transportation, and itineraries, with a strong attention to details (visa, etc)
• Submit expense reports in a timely manner, with no supervision, independently and without supervision.
• Recognize and address pain points in processes, pro-actively seek improvements and drive their implementation.
• Handle general office administration tasks, with the support of EA team members.
• Oversee personal responsibilities including: communication with household staff, management of personal domestic and international travels (mainly by train), management of properties and renovations, organization of medical appointments, oversight bank account and handling personal payments, communication with tax accountant
• Run errands and provide additional personal support as needed (reservations, gifting)
Requirements:
• 10 + years’ /Personal Assistant experience
• Exceptional organizational skills and ability to manage multiple priorities in a fast-paced environment.
• Calm under pressure and solution-oriented
• Great follow-through, with a willingness to pursue action items until fully completed.
• Strong interpersonal and communication skills with a warm, approachable demeanor.
• Proactive and resourceful, with the ability to anticipate needs and solve problems before they arise.
• High level of ownership, accountability, and discretion
• Ability to work nontraditional hours
• High degree of integrity, discretion, and professionalism.
• Proficiency with scheduling tools, Microsoft Office/Google Workspace, and basic administrative processes
