Personal Executive Assistant to support a Creative Leadership Team
In this role, you will act as a trusted partner, managing complex calendars, coordinating travel and meetings, and ensuring smooth, efficient day-to-day operations. You will also play a role in supporting the Creative Leadership Team in driving and maintaining creative excellence across the organization.
The ideal candidate brings exceptional attention to detail, strong communication skills, and the ability to anticipate needs and priorities in a fast-paced, dynamic environment.
Key Responsibilities
• Manage the Leadership’s calendar, scheduling meetings, appointments, and events across multiple time zones; proactively verify attendee accuracy in advance and conduct a final attendance check five minutes before each meeting to ensure adherence to scheduled timings.
• Attend the daily agenda time slot dedicated to meeting requests in order to gather all relevant information required for scheduling.
• Assess priorities and urgencies and, on an exceptional basis, add items to the daily agenda as needed.
• Serve as the primary point of contact between the Executive and internal and external stakeholders.
• Handle correspondence, emails, and calls with discretion, professionalism, and confidentiality.
• Organize and prepare materials for meetings, presentations, and reports.
• Coordinate national and international travel arrangements, including itineraries, accommodations, and logistics.
• Manage expenses, invoices, and budget tracking related to Executive activities.
• Support the preparation and follow-up of key projects, ensuring deadlines and priorities are met.
• Handle confidential information with the highest level of integrity and sensitivity.
• Assist with ad hoc personal and administrative tasks as required.
• Support the Creative Leadership Team and the Global Awards Manager / Global CCO in identifying high-potential projects that enhance the network’s reputation, as well as managing awards submissions for these projects.
Qualifications & Skills
• Proven experience 4+ years as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
• Adversting and Communication lover, with a strong interest for creativity.
• Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
• Strong written and verbal communication skills in [English and/or other relevant languages].
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, Slack, Zoom).
• High level of discretion, professionalism, and reliability.
• Proactive problem-solving attitude and ability to work independently.
• Flexibility and adaptability to changing priorities.
